Which AI tool should our company use?
It depends on where your data is allowed to go, what you already pay for, and what you want it to do. For most offices already in Microsoft 365, the honest first answer is the one you are already licensed for, configured properly.

The question behind the question
People asking this usually mean "which one is best", and the platforms are close enough on capability that the answer is almost never about capability. It is about custody of your data, what you are already paying for, and which one your IT company can actually administer and audit.
Start with what you own
If your business runs on Microsoft 365, you may already be licensed for a capable tool that inherits your tenant's retention, access and audit rules. That is a real advantage: it means the AI is governed by the same rules as your email rather than sitting outside them. Prove the value there before adding a second subscription and a second login.
When something else is the right answer
Plenty of times. A different platform may handle long documents better, cost less at your headcount, or be the one your industry's software already integrates with. We compare the major platforms on data handling, retention, compliance evidence and cost, and we tell you which document each answer came from so you can check the reasoning rather than trust it.
Whatever you pick, name it
The decision is not finished until it is written down as an approved tool in a one-page policy. Otherwise the answer to "which tool does this company use" is "all of them", which is the situation you were trying to fix.
Consumer AI tools send whatever you paste out of the building. Enterprise editions keep it in your tenant. The policy has to say which is which.
