Can our staff use ChatGPT?
With an enterprise account and a written policy, often yes. On a personal account with client data, no, and the policy should say so in plain words.

Before you pick an AI platform, ask the vendor one question in writing: is our data used to train your models, and for how long do you keep it?

Ask around the office and you will find people using ChatGPT, Copilot or something similar to draft emails, summarise documents and write spreadsheet formulas. That is fine, and mostly useful. The question is what they are pasting in, and where it goes.
The line
A personal, free account may use what you type to train the model, and you have no agreement with the provider about your data. Client names, financials, contracts, medical or personal information and anything a customer would not want on the internet should never go into one. A business or enterprise account, where the provider agrees in writing not to train on your data and to keep it private, changes the answer.
What a policy says
Which tools are approved, on which accounts. What may not be pasted in, in plain words with examples. That output gets checked by a person before it goes to a client. Who to ask when unsure. It fits on a page, and staff will actually follow it if it is short.
Regulated businesses
Insurance agencies, financial advisors and law firms get asked about this by regulators and clients now. We wrote a policy for an SEC-registered advisor and set up the approved tools so the policy was enforceable rather than a wish. The same approach works for a ten-person office.

Consumer AI tools send whatever you paste out of the building. Enterprise editions keep it in your tenant. The policy has to say which is which.
