Using Copilot in a regulated firm without the auditor flinching
The policy comes first. Then the platform. Then the rollout. In that order, and it works.

Advisors, accountants and attorneys ask us the same question: can we use AI tools without creating a compliance problem? Yes, and the order of operations matters.
Policy first. Two pages, in plain English. Which tools are approved. Which data may never be pasted into any of them. How usage is logged and who reviews it. Who owns exceptions. Staff will read two pages; they will not read twenty.Then the platform. Consumer AI tools send your data out of the building. Enterprise editions, Copilot Enterprise in particular, keep it inside your Microsoft 365 tenant, under the same retention and access rules as your email and files. That distinction is the whole game for a regulated firm. Pair it with monitoring that logs who accessed what, and the compliance officer has something to show an examiner.Then the rollout. Start with a small group and a few real tasks: summarizing a meeting, drafting a client letter, finding a document. Measure what it saves. Expand from there.We have done this for a financial services firm as part of a larger move off an on-premises server and into SharePoint with a security program behind it. The regulator's question was never whether they used AI. It was whether they could show exactly how. They can.
Sunk cost is real. A backup server you bought last year deserves a plan before it goes in a dumpster because a move made it convenient.
